Swim Central: our new whole of sport administration system

Swim Central is our new whole of sport administration system which has now completely replaced ClubLANE and MyLANE for all clubs and members in NSW. 

Swimming NSW will continue to run training sessions at key club and area events in the coming months. Keep an eye on our social media accounts and Hot off the Blocks club newsletter for Swim Central tips and training session dates.

Swim Central highlights

Swim Central is a progressive CRM that will simplify administration for all users. Some of the new functionality clubs and members will enjoy include:

Shopping trolley function

Swim Central's shopping trolley functionality allows members to add membership products, meet entries, and anything else your club might offer to a shopping trolley for yourself and any other members of your family so you can checkout/make payment in one convenient transaction.

Simplified refund process

Clubs have the option to choose if refunds can be permitted for products in Swim Central. For products that permit refunds, members will be able to initiate a refund request themselves. The refund will then need to be approved by different levels; once each level approves the refund of their portion of the fees, the funds will be returned to the member through the online payment gateway

Instant Messaging system

Need to remind your members that club night is on this week? Need to remind them to being along their fundraising efforts to next squad training? Pool closed this week, so no training? Simply add your members to a group and message them all at once through Swim Central.

Technical Official nomination and appointment process streamlined

When setting up meets, clubs can create a nomination system for TO’s, making it easier than ever to organise a crucial aspect of running your events.

Automated scheduling of meet Timekeepers

In addition to the TO nomination and appointment process, Swim Central can auto-allocate clubs as Timekeeper representatives for meets.

Run social events through Swim Central

Create your non-swimming events in Swim Central. Participants are able to RSVP and purchase products like club merchandise or raffle tickets through Swim Central (Coming Soon).

Tips and functionality updates from Swimming Australia

  • 13 September 2019
    • Reminder of Registration starting from Tuesday 17th. Please ensure you are across all information, if you wish to open up registrations for your as early as the 17th.
    • Meet setup: Meets are set up using membership products as requirements, and all membership products have an end date. Therefore, for meets that are taking entries over two seasons (i.e. past October 1), you will need to have both seasons products added to membership requirements. E.g.
      • Meets closing before 1 October had only 18/19 products as membership requirements
      • Meets open in September/October, but not closing until after 1 October have both 18/19 & 19/20 products as membership requirements
      • Meets open after October have only 19/20 products as membership requirements.

    • Clubs to email mikaeli.cuell@nsw.swimming.org.au to request ‘Offline Payments’ to be switched on for processing of Active Kids vouchers.
  • 6 September 2019
    • Clubs MUST NOT set up their new season membership products before 17th September 2019. If this occurs, there is no possible way that members can register into the correct season, and therefore they wold be ineligible to enter meets, and are not covered by insurance from October 1 onwards.
    • Once new season fees are set up, ensure you add all new season member’s categories to your club’s meet requirements, including Active Kids.
    • Clubs to email mikaeli.cuell@nsw.swimming.org.au to request ‘Offline Payments’ to be switched on for processing of Active Kids vouchers.
      • if this tile has been set up for you to take manual payments for AK vouchers, and it suddenly disappears, please just refresh your browser once or twice and it will reappear. Swimming Australia are looking into why this is occurring with this particular tile.
    • A 1.5% transaction fee applies to all transactions in Swim Central (just like in ClubLANE)
    • A tool similar to Results Central is on its way. Stay tuned for more information!
    • Unless it has been changed by Swimming NSW, your Entity Management (club access) PIN is 4567
      • Note: If you have a family set up in Swim Central, this is a different PIN to 4567.
  • 30 August 2019
    • Member reports are now accurately reflecting your entity’s member list
    • MyLANE/ClubLANE/Results Database access discontinued October 12
    • Renewal/Registration information for club Registrars found here.
  • 23 August 2019
    • Coming Soon: users will only be able to process payment for one family member’s event entry at a time now before entering the next child. Please pass this information onto your members.

    • In Swim Central, it is a requirement that the club contact, as listed in Swim Central, uploads proof of identity. This allows Swim Central’s payment system Stripe to recognise your entity as a legitimate payee, and will then process funds to the account details you have set up in Swim Central. ID documents are required to be uploaded to Swim Central via the My Documents library in JPEG or PNG format. Once you have linked these documents to your entity page they are then stored within the Stripe system, which means they can be immediately deleted from your My Documents folder and therefore will no longer be accessible or visible within Swim Central.
  • 16 August 2019
    • Moving forward in meet setup, there is now an option to select the closing time, in addition to the date
    • Race Secretaries can now edit membership and relationships requirements after a meet has been published (see this guide for more info)
    • When setting up a meet in Meet Manager, and before importing into Swim Central, please ensure that all events are set to ‘Standard’
      • You can amend the event setup to Time Trial or Swim-off as required when you export the results to Swim Central before uploading
      • Doing this ensures that Time Trial or Swim-off Events do not load as DQs in swimmers’ results
    • Open events Minimum Age – not yet working. In meet setup, please ensure the section Open Event Min. Age is not used yet, as it is affecting other ages’ entries. SNSW will advise when this is re-working

I'm the club contact: what do I do once logged into Swim Central for the first time?

  • Update your club banking details
  • All club banking details we reset to generic numbers in the transition to Swim Central for security purposes. If you haven't updated your banking details since the changeover, you'll need to do so ASAP to receive payment of funds due to your club.

  • Upload proof of identity for club contact
  • In Swim Central, it is a requirement that the club contact, as listed in Swim Central, uploads proof of identity. This allows Swim Central’s payment system Stripe to recognise your entity as a legitimate payee, and will then process funds to the account details you have set up in Swim Central.

  • During roll over week, you will need to set up your club's current meets accepting entries and upcoming meets in Swim Central.

  • ABN requirement
  • As part of the new and improved payment process in Swim Central every club will be required to have an ABN. In Australia, small businesses are not required to hold an ABN. However in Swim Central the payment gateway we are using, Stripe, is an international gateway and to access all the benefits you are required to register an ABN with them.
